A complete guide to using ADAM ACCOUNTS for managing your inventory, invoices, payments, and accounts.
1. Getting started
Sign up: Click Get started on the home page, enter your name, email and password, then check your inbox to confirm.
Sign in: Use the same email and password on the sign-in screen. If you forget your password, click Forgot password? and follow the link sent to your email.
Initial setup: After your first login you'll be guided to create your company profile (name, address, logo). This appears on invoices and reports.
2. Dashboard
The dashboard is your daily overview: total sales, purchases, outstanding receivables/payables, low-stock alerts, and recent activity. Use the sidebar to jump to any module.
3. Units
Set up units of measurement (e.g. pieces, kg, litre, box) before adding products. Go to Units → Add unit, enter name and short code, then save.
4. Warehouses
Create one entry per physical location. Each warehouse tracks its own stock independently. You can later view per-warehouse history from the warehouses list.
5. Products
Add every item you buy or sell. For each product set: name, SKU, unit, sale price, purchase price, and an optional minimum stock alert. Click any product to view its full movement history.
6. Parties (Customers & Suppliers)
Parties are your customers and suppliers. Add their name, phone, email, address and opening balance. Each party gets an auto-generated ledger of every transaction.
7. Inventory & Movements
Use Movements to record stock changes that are not tied to an invoice — transfers between warehouses, stock adjustments, damaged stock, or opening stock. Pick the product, warehouse, quantity, and type (in/out).
The Inventory page shows current quantity per product per warehouse.
8. Invoices, Quotations, Proformas & Albaranes
Sales invoice: Choose customer, warehouse, then add line items (product, qty, price). Tax and discounts are calculated automatically. Save to deduct stock and post to the ledger.
Purchase invoice: Same process but stock is added instead of deducted, and the supplier ledger is credited.
Quotations / Proformas / Albaranes: Use the dedicated sections to issue price quotes, pre-invoices and delivery notes. Quotations and proformas convert to a sales invoice with one click; albaranes track deliveries without accounting impact.
Each document can be printed or downloaded as PDF. From an invoice you can also Email to client, and from the Reconciliation page you can send payment reminders per unpaid invoice.
9. Payments
Record money received from customers or paid to suppliers. Select the party, amount, date, mode (cash / bank), and optionally link to specific invoices. The party's balance updates instantly.
10. Ledger
The ledger shows every debit and credit for a party with a running balance. Filter by date range, export to PDF, or open the Stock Ledger to see product-level movements.
11. Reports
Profit & Loss: Revenue, cost of goods sold and gross profit for any date range.
Balance Sheet: Assets, liabilities and equity snapshot.
All reports can be exported as PDF.
12. Members & Roles
Invite team members from Members → Invite. Pick a role:
- Admin — full access to everything.
- Manager — manage inventory, products and parties.
- Accountant — create invoices and payments.
- Viewer — read-only access; edit/delete buttons are hidden.
Invitees receive an email; once they sign up with the same address they automatically join your account.
13. Backup
Open Backup to download a JSON snapshot of all your data. Store it somewhere safe — it can be used to restore or migrate your data later.
14. Account & Password
Change password: Sign out, click Forgot password? on the sign-in screen, follow the email link, and set a new password.
Sign out: Use the avatar menu in the top-right corner of any page.
